QuickBooks Desktop Export: Exporting Data from Rev.io

This article walks you through exporting financial data from Rev.io for import into QuickBooks Desktop. See the QuickBooks Desktop Export: Overview article for prerequisites before getting started.

Navigating to the Export Tool

  1. Log in to Rev.io and navigate to Admin in the main navigation.
  2. Click Bulk Tools.
  3. Select QuickBooks Desktop Export.

Selecting Data to Export

You will see four options for the type of data you can export. You can select one, multiple, or all entity types at once. Use the Select All / Deselect All link to quickly toggle all options. The following entity types are available for export.

Customers

Invoices

CustomerCustomer name the invoice belongs to.

QuantityNumber of units.
PricePrice per unit. QuickBooks calculates the line total automatically.

Payments

FieldDescription
Customer NameCustomer who made the payment.
Check NumberPayment grouping key (payment ID from Rev.io).
AmountPayment amount.
Transaction DateDate payment was received.
Payment MethodHow the payment was made, such as check or credit card.
Apply To InvoiceInvoice number the payment applies to.
MemoAdditional payment notes including the original reference number.

Purchase Orders

Choosing a Date Range

Select the date range for your export. The following options are available.

OptionDescription
Since Last ExportExports all records created or modified since your last successful export. Recommended for ongoing use to avoid duplicate data.
Last 7 DaysExports records from the past week.
Last 30 DaysExports records from the past month.
Last 90 DaysExports records from the past three months.
Custom RangeSelect specific start and end dates using the date picker.
NOTE: Export in date ranges of six months or less for best performance. Larger ranges may take longer to process and could result in timeouts. If you need data beyond six months, run multiple exports in smaller increments.

Downloading Your Files

  1. After selecting your data types and date range, click Export CSV.
  2. The system will process your export and display the record count for each entity type.
  3. Download each CSV file individually using the dropdown arrows next to each data type name.
  4. When you are done downloading, click Finish. Your export will be recorded in the export history at the bottom of the page, showing the date, data types, record counts, and whether the export succeeded or failed.
NOTE: If an export fails, click Retry to run it again. The error message will indicate what went wrong.
