Agreements Overview
Agreements in Rev.io help you manage customer contracts, track the time and materials that count against them, and see how profitable each one is. You can build reusable agreement templates, create agreements for your customers from those templates or from scratch, and review usage, billing, and profitability on each agreement.
An agreement is made up of components, which are the billable building blocks of the agreement. Components are flexible, and you can rename components and rates to match the way your customers talk about their services. The following component types are available.
Label | Definition |
|---|---|
Block Hours | Includes a set number of hours for a time log reason. Hours beyond the included amount bill at overage rates. |
Time and Materials | Sets agreement-specific labor rates for your time log reasons and tracks the time and parts on tickets that belong to the agreement. Parts are included in the agreement's profitability but are not billed through the agreement. |
Recurring | Tracks the customer's recurring services within the agreement. It does not change how those services bill. |
One-Time Items | One-off charges or credits attached to the agreement, such as yearly toner or a replacement computer. Items can be billed again each time the agreement renews. These are added on a customer agreement and cannot be added to an agreement template. |
Agreements are set up in Admin > System Settings > Agreements. For day-to-day work, click Customers in the sidebar menu and select Agreements, or open the Agreements tab in the Billing section of a customer's profile.
Complete the following setup steps in order before you create your first agreement template.
- Turn on your time log reasons for agreements on the Time Entry Rates tab. Time log reasons that existed before Agreements was released start out inactive and non-billable, so you turn on Active and Billable for each one you want to use. Time log reasons you add after the release appear automatically. See the Add/Edit Agreement Time Entry Rates article for more information.
- Choose the product types used to bill agreement usage on the General tab. See the System Settings: Agreements article for more information.
- Create any overage templates you plan to reuse on the Overage Templates tab. See the Create/Edit Overage Templates article for more information.
- Build your agreement templates on the Agreement Templates tab. See the Create/Edit Agreement Templates article for more information.
- Create agreements for your customers. See the Add/Edit Agreements article for more information.
NOTE: The Time Log Reason list on a rate stays empty until at least one time log reason has been turned on for agreements. To add a new time log reason, use System Tables > Time Entry. See the System Settings: System Tables - Time Entry article for more information. Some tabs in Admin > System Settings > Agreements depend on your permissions, so you may not see all of them. Contact support if something is missing. |
Tickets are added to an agreement automatically, so no one needs to choose the agreement on the ticket. A ticket is picked up when the service selected on the ticket is covered by one of the agreement's components, or when the ticket's type is one of the agreement's Ticket Types. The agreement has to be set up correctly for this to work. To bill work that falls outside an agreement, use a service or ticket type that the agreement does not cover.
An agreement moves through the following statuses.
Label | Definition |
|---|---|
Pending | The agreement has been saved but is not active yet. Use this status while setup is still in progress or when the agreement should start at a later date. |
Active | The agreement is in effect. |
Pending Cancellation | A cancellation has been scheduled but has not taken effect yet. |
Cancelled | The agreement has been cancelled and its services have been disconnected. |
