Configuring Collections

Rev.io helps you manage collections so that past-due accounts are automatically identified and handled according to your defined collection strategy, giving you greater control and visibility over your receivables process. See the steps below to set up collections in your instance.

Create Collection Templates 

  1. Access Admin > System Settings > Billing Config.
  2. Click the Collection Templates tab.
  3. Click the New Template button.
  4. Enter a Template Name and Balance Limit.
  5. Select a collection step type from the New Template dropdown.
  6. Click the Add button.
  7. Complete the fields for the step type you selected and click the Save button.
  8. Continue adding steps until you've built out your full collections process.
  9. Click the Save button to save your template.

Add Templates to Bill Profiles 

  1. Access Admin > System Settings > Billing Config.
  2. Click the Bill Profile tab.
  3. Edit the bill profile where you want to assign the collection template.
  4. Select the template you created from the Collection Template dropdown in the Collections section.
  5. Click the Save Bill Profile button.

Assign Bill Profile to Customers 

  1. When creating customers, select the bill profile with the collection template assigned from the Bill Profile dropdown.
  2. To update existing customers, click the Edit button on the Billing Information tab in the Overview section on the customer profile.

Execute Collection Steps

When a customer account is overdue by the number of days set in the Grace Period for the collection step, they will display in the collections queue. The only way for a customer to be removed from the collections process is for them to pay off their overdue balance in full.

  1. Access Billing > Collections.
  2. Find a collection step with customers in the In Queue column.
  3. Click the menu icon at the end of the row and select View from the menu options.
  4. Review the customers in the queue for the collection step type. 
  5. Select specific line items or click the Select All button and then click the Execute Step button.
  6. Alternatively, you can have another user execute the step(s) by clicking the Assign User button instead.
