QuickBooks Desktop Export: Troubleshooting
Use the table below to resolve common issues when exporting from Rev.io or importing into QuickBooks Desktop using Transaction Pro.
| Issue | Solution |
|---|---|
| Export times out or fails | Reduce your date range. Try 30 or 90 days instead of a larger range. If the issue persists, contact Rev.io support. |
| Transaction Pro cannot connect to QuickBooks | Make sure QuickBooks Desktop is open with your company file loaded before opening Transaction Pro. If QuickBooks prompts you to allow access, click Yes. |
| Fields not mapping automatically | Click Field Match to auto-map by column name. If some fields remain unmapped, select the correct QuickBooks field from the dropdown next to each CSV column. |
| Duplicate records after import | You may have exported the same date range twice. Use the Since Last Export option to avoid duplicates. Transaction Pro also has a setting to skip duplicates on import. |
| Invoices imported but not visible | Check your date filter in QuickBooks. Go to Reports > Customers & Receivables > Open Invoices and set the date range to All. Invoices may be hidden by the default date filter. |
| Payments do not link to invoices | Make sure invoices were imported before payments. Payments reference invoices by number, so the invoices must already exist in QuickBooks. |
| Items created as wrong type | On the QuickBooks Item Settings screen, change the Item Type to match your needs before clicking Finish. |
| Purchase order shows $0 vendor balance | This is expected. In QuickBooks, a purchase order does not create a payable balance until it is received against or converted to a bill. |
