QuickBooks Online Integration: Overview
QuickBooks Online is a cloud-based accounting platform from Intuit that helps businesses manage finances, track income and expenses, send invoices, and generate financial reports.
You can integrate Rev.io with QuickBooks Online using the Integrations Library in the Admin module. The integration keeps customers, invoices, payments, and products aligned between the two systems so your accounting records stay accurate without re-entering data manually. It covers four areas:
- Customers - keeps your customer list aligned between Rev.io and QuickBooks Online, matching existing records where possible and creating new ones where needed.
- Invoices - moves invoices between the two systems with line items mapped to the correct products and taxes applied.
- Payments - moves payments alongside invoices and applies them to the matching invoice automatically.
- Products - brings your QuickBooks Online items into Rev.io as products so invoice lines map to the correct catalog entry. Products always flow from QuickBooks Online into Rev.io.
An optional Purchase Order Push feature is also available. When enabled, approved purchase orders in Rev.io are automatically created as purchase orders in QuickBooks Online for your AP team. This feature is off by default and must be enabled deliberately during configuration.
For customer, invoice, and payment syncs, each instance runs in one direction only, either Rev.io to QuickBooks Online or QuickBooks Online to Rev.io, controlled by a single Sync Direction setting. The integration does not sync both ways at once. Each instance is tied to a single QuickBooks Online company for its entire life. Do not reconnect a live instance to a different QuickBooks company without treating it as a fresh setup and contacting Rev.io first.
