Emailing Quotes to Recipients
Clicking the Send to Recipients button on the quote editor window allows you to send a quote to your customer for signing. Before sending a quote, be sure you have configured all recipients and signers for the quote. See the Adding Quote Recipients article for more information. Once all the fields are complete and you have reviewed the quote for accuracy, click the Send to Recipients button at the top to email the document to the signers.
Sending a Quote
From the Send Quote window, you can enter a Subject and Message for the email. The Subject you enter here displays as the Subject on the email your customer receives. The Message you enter here displays in the body of the email your customer receives, along with a link to access and sign the quote.
You can also take advantage of our in-app AI tool, Reviize, to craft the perfect message for your quote recipients. Once you've finished drafting your message to send with the quote, click the Send button.
Receiving a Quote via Email
Your recipients will receive an email with the link to access your quote. Information in the email displays as follows.
- The Subject shows the Subject entered on the Send Quote window with "via PandaDoc" added at the end.
- The "from" name shows your company name from your Rev.io URL followed by "Quoting via PandaDoc".
(e.g. A Rev.io URL of ironcladsolutions.psarev.io shows Ironclad Solutions Quoting via PandaDoc as the "from" name) - The "from" address shows as <docs@email.pandadoc.net> because the email is sent automatically through our integration.
- The body of the email shows the following.
- A statement saying [Company] sent you [Quote Name from Rev.io].
- The Message entered on the Send Quote window in Rev.io.
- A button to Open the Document so the recipient can review and sign the quote.
- A button to Forward the document to additional reviewers.
Reviewing and Signing a Quote
Clicking the Open the Document button in the quote email opens the quote in a new browser tab. Here, your recipients can scroll to review your quote and sign it if they agree to your services. The elements on the screen display as follows.
- Name of the quote in Rev.io
- Name of your company as shown in your Rev.io URL
- Initials of the signer viewing the quote
- Menu with the following additional options
- Change Language. Change the language of the quote viewer.
NOTE: This option does not change the language in the quote itself.
- Resolved suggestions. View the resolved suggestions on the quote.
- Forward. Forward the quote to additional recipients.
- Download. Download the quote as a .PDF file.
- Print. Print the quote.
- Cookie preferences. Adjust cookie preferences for the quote viewer.
- Decline. Decline the quote.
See the Declining a Quote section below for more information. - Chat function. This option is currently not supported by Rev.io.
- Click to open a side panel showing the pages included in the quote.
- Click to access the fields assigned to the recipient and begin signing the quote.
- Click anywhere in the quote to leave a comment/suggestion.
Declining a Quote
Recipients can select the More actions menu at the top of the screen and click Decline to decline the quote. Clicking the Decline option opens a window, allowing the recipient to select a reason for declining the quote and add a message, if desired.
Once the recipient clicks the Decline button, they no longer have access to the quote and are automatically unsubscribed from email notifications for the quote. Because the recipient no longer has access to the quote, the screen displays an error message.
